Certificate of Insurance, Explained: What Hosts and Venues Need

If you've booked an event at a venue, an HOA pool, or an apartment community, you may have been asked for a "certificate of insurance" — or a COI — before a lifeguard can work the event. If that request left you guessing, here's exactly what it means and how to handle it.

What a Certificate of Insurance Is

A certificate of insurance is a one-page document that proves a business carries active insurance coverage. For a lifeguard service, it confirms two things: general liability insurance (which covers third-party injury or property damage) and, ideally, workers compensation (which covers the guard if they're hurt on the job). It lists the policy, the coverage amounts, and the dates the coverage is active.

Why Venues and HOAs Require One

Property managers, venues, and HOA boards request a COI to protect themselves. If something goes wrong at the pool, they want documented proof that the lifeguard service — not the property — carries the liability. It's a standard, reasonable request, and any legitimate lifeguard company should be able to produce one without hesitation.

Often the venue will also ask to be named as an "additional insured" on the certificate. That simply extends the lifeguard's policy protection to the property for that event. It's routine.

What to Watch For

A few things separate a real, insured service from a risky one:

  • They can produce a COI quickly — hesitation or excuses is a red flag

  • Both coverages are listed — general liability AND workers compensation

  • The dates are current — coverage must be active on your event date

  • They'll add the additional insured — if your venue requires it
